This Consumer Health Data Privacy Policy for Quiet Dimensions LLC d/b/a Vast Quiet Space (“Company,” “we,” “us,” or “our”) explains how we collect, use, store, and protect wellness-related information for online immersive sound sessions and related offerings.
We want this to feel simple and transparent: we only ask for information that helps us prepare a safer, more supportive, and more personalized session.
This policy applies to consumer health data collected through our online intake form, session preparation process, email communication, session notes, and related client communications.
1. Business and session context
Quiet Dimensions LLC d/b/a Vast Quiet Space is a creative studio offering original music composition, sound design, custom audio production, licensing of original music and audiovisual works, creative consulting, educational materials, digital products, and artist-led sound experiences.
Some offerings, such as online immersive sound sessions, may involve limited wellness-related intake information. This policy applies to that wellness-related information.
Our online immersive sound sessions are wellness and creative practices. They are not medical care, therapy, diagnosis, or treatment.
2. What we mean by “consumer health data”
In this policy, “consumer health data” means personal information that may relate to your physical, mental, emotional, sensory, or wellness state, especially when connected to an online immersive sound session.
This may include things you share about your sound sensitivities, comfort needs, intentions, grounding preferences, or whether certain sounds may be unsafe for you.
3. Categories of consumer health data we collect
Depending on what you choose to share, we may collect:
Contact and session information
- Name
- Email address
- Preferred name
- Time zone
- Session date and session type
Sound safety information
- Whether you have sound-induced epilepsy
- Whether you have experienced seizures or seizure-like symptoms triggered by sound
- Sounds, frequencies, volumes, or textures that feel uncomfortable, disturbing, or unsafe
Sensory and experience preferences
- Sounds you find relaxing, comforting, or beautiful
- Sounds you prefer to avoid
- Preferences around high-pitched sounds, bells, chimes, low tones, drones, sustained sounds, voice, mantra, and spoken guidance
- Preferences around visualization or image-based guidance
Intention and support information
- What is bringing you to the session
- Intentions, feelings, or qualities you want to bring into the session
- What helps you feel grounded, comfortable, or present
- Preferences for the overall feeling of the session, such as restful, grounding, spacious, meditative, creative, or minimal
Session notes
- Notes we write to support session continuity
- What seemed supportive
- What to remember or adjust for future sessions
- Follow-up notes or next steps
Payment and transaction information
- Name
- Email address
- Amount paid
- Payment date
- Payment status
- Invoice or receipt reference
- Service purchased
We do not ask for full medical history for online sessions unless it becomes clearly necessary for safety or you choose to share it.
4. Why we collect this information
We collect and use this information to:
- Prepare for your online immersive sound session
- Understand basic sound safety considerations
- Shape the session around your sensory preferences and intentions
- Avoid sounds or approaches you prefer not to receive
- Support continuity if we work together over more than one session
- Communicate with you about your session
- Process payments and confirm bookings
- Respond to billing questions
- Maintain simple internal business records
- Prevent fraud, manage disputes, and meet tax, accounting, or legal obligations
- Respond to your privacy requests
We do not use your consumer health data for unrelated advertising or profiling.
5. Sources of consumer health data
We collect consumer health data from:
- You, when you complete an intake form
- You, when you communicate with us by email or other direct communication
- You, during or after a session
- Our own session notes, based on what happens during our work together
- Stripe, for limited payment and transaction records if you pay online
We do not buy consumer health data from data brokers.
6. Payment processing
We use Stripe to process online payments.
We do not store full credit card numbers, debit card numbers, bank account numbers, or card security codes in our client intake records, session notes, or CRM.
Stripe may collect and process payment information needed to complete your payment, such as your name, email address, billing details, payment method information, transaction amount, transaction date, and payment status.
We may receive and store limited payment-related information for business records, such as your name, email address, amount paid, payment date, payment status, invoice or receipt reference, and service purchased.
Payment information is used to process payments, confirm bookings, maintain business records, respond to billing questions, prevent fraud, manage disputes, and meet tax, accounting, or legal obligations.
Stripe processes payment information according to Stripe’s own privacy policy.
We do not intentionally include intake responses, session notes, sound safety information, or other consumer health data in Stripe payment descriptions, receipts, invoices, or payment metadata.
7. When we share consumer health data
We do not sell consumer health data.
We do not share consumer health data for advertising.
We may use trusted service providers to operate our business and provide the services you request. These may include:
- Google Workspace, for intake forms, email, calendar, spreadsheets, and file storage
- Zoom or Google Meet, for online sessions
- Stripe, for payment processing
We aim to share only the information needed for each service provider to perform its role.
For example, Stripe may process payment and transaction information, but Stripe does not need access to your intake responses or session notes. Google Workspace may store intake responses and session notes, but it does not process your card payments.
If we ever want to share your consumer health data for a purpose that is not necessary to provide the service you requested, we will ask for your separate consent first.
8. Categories of information that may be shared or processed by service providers
Depending on how you interact with our services, the following categories of information may be processed by service providers:
- Contact and session information
- Intake form responses
- Sound safety information
- Sensory and experience preferences
- Intention and support information
- Session notes, if stored in our business records
- Basic payment and transaction information, when applicable
Payment and transaction information may include your name, email address, amount paid, payment date, payment status, invoice or receipt reference, and limited payment method details made available by Stripe.
9. Third parties, service providers, and affiliates
We currently use service providers to help operate our business. These may include:
- Google Workspace
- Zoom or Google Meet
- Stripe
At this time, we do not share consumer health data with separate affiliates for their own independent use.
Quiet Dimensions LLC is the legal business entity. Vast Quiet Space is a public-facing studio, label, publishing, licensing, and creative practice identity used by Quiet Dimensions LLC. These names are not used to sell or separately monetize your consumer health data.
10. What we do not store
To protect your privacy, we do not store full card numbers, card security codes, bank account numbers, or full payment credentials in our client intake records, session notes, or CRM.
We also try not to collect or store more wellness-related information than is reasonably needed to prepare for and provide your session.
11. How we protect your information
We take reasonable steps to protect your information, including:
- Using password-protected business accounts
- Using two-step verification where available
- Limiting access to client intake and session records
- Avoiding public or “anyone with the link” sharing for client records
- Keeping intake and session information in restricted business systems
- Collecting only the information we reasonably need for the session
No system is perfectly secure, but we treat your information with care and try to keep our systems simple, limited, and privacy-aware.
12. How long we keep your information
We keep intake responses and session notes only as long as reasonably needed for the purposes described in this policy, such as session continuity, business records, and responding to your requests.
You may request deletion of your consumer health data. We will honor deletion requests unless we need to keep limited information for legal, tax, accounting, dispute resolution, fraud prevention, or other legitimate business recordkeeping purposes.
13. Your rights
Depending on your location and applicable law, you may have the right to:
- Confirm whether we collect, share, or sell consumer health data about you
- Access the consumer health data we have about you
- Ask for a list of third parties or affiliates with whom your consumer health data has been shared, if any
- Withdraw consent for future collection or sharing
- Request deletion of your consumer health data
- Appeal if we deny a request

14. Appeals
If we deny your request, you may appeal by replying to our decision email with the word “Appeal” in the subject line.
We will review the appeal and respond in writing.
15. Changes to this policy
We may update this policy from time to time. If we make meaningful changes to the categories of consumer health data we collect, how we use it, or how we share it, we will update this policy and, when required, ask for your consent before collecting, using, or sharing consumer health data in new ways.
